We have been using RFPIO for almost a year and it has changed the way we work.
There are four key things that set RFPIO apart from our previous RFP management software, Qvidian:
1) Web-based access - no need to load and reload Microsoft add-ons; access the system from anywhere, even on your home computer (no need to even bring your laptop home from the office); VERY FAST response times to content queries (I could have written a book in the time I have spent waiting for the Qvidian windows to open).
2) Pricing model that supports collaboration - pricing is based on the maximum number of concurrent projects, not user seats. So, if you need someone to work with you, you invite them to access the tool on the fly. We have a lot of SMEs and internal clients and the pricing is the same no matter how many people involved.
3) Tags to organize materials - forget about folders - tags are a much better way of organizing content. They offer high flexibility and allow you to organize and search for content in a very intuitive way.
4) Constant innovation - They are truly collaborative in their innovations, many of which are based on our feedback. They are always adding functionality and making it more productive.

I would like them to add a feature that allows us to store our standard non Q/A pair content in the tool. The current "Section Template" functionality does not work for us. Responsive has significantly improved our ability to respond to RFXs faster and more effectively, especially during the initial stage of the response process. The Content Library and Ask (AI) features allow us to centralize and reuse high-quality, approved content, which means we’re no longer starting from scratch each time. With a curated library of pre-approved responses and supporting documentation, we eliminate repetitive writing and quickly insert accurate, compliant answers into proposals. Our team can quickly locate relevant answers, tailor them to the specific opportunity, and collaborate seamlessly, often in real-time. It’s helped reduce turnaround time, maintain consistency in our messaging, and ensure that our responses align with our brand voice and strategic goals. Ultimately, it’s freed us up to focus more on strategy and less on the mechanics of response management.
Customer support is quick to respond and open to ideas and building customizations for clients.
We monitor submission progress and team performance through Responsive’s dashboards, which provide at-a-glance views of task completion and outstanding items. We analyze the most frequently used content that needs updates, helping us maintain a relevant and practical knowledge base over time.

One of the less helpful aspects of using Responsive is that while it excels at centralizing content and streamlining response collaboration, it can feel a bit rigid when customizing more complex or non-standard proposals. The platform is optimized for high-volume, standardized RFPs, which is great in many cases, but for more tailored responses or creative proposals, the interface and process can feel a bit limiting.
Additionally, while the content library is a powerful feature, keeping it clean and current can become a significant maintenance task, especially if you have many contributors or if your offerings change frequently. Content quality can degrade without strong governance, impacting response efficiency and accuracy.
Another challenge is the initial setup process of creating the Project response Q&A template. While Responsive provides a structured framework to get started, that structure isn't always easily configurable to fit unique intake needs. It often requires several attempts before the output is satisfactory.
The cost for full access for users is high compared to other platforms.
Finally, integration with specific third-party tools and CRMs can sometimes require additional configuration or workarounds to meet specific organizational needs, which may not be as seamless as marketed. Review collected by and hosted on G2.com.
Responsive (formerly RFPIO) is a very convenient and intuitive tool. It is easy to use and it provides an array of features to help and smooth our work. I have been using it on a daily basis due to the high volume of RFPs/RFIs and don't want to imagine this work without Responsive (formerly RFPIO).

I love the ease of use of Responsive, and how they are always innovating and adding features. The implementation and integration processes have been very easy when implemented in my previous companies. Customer support is timely and informative. I wish the reporting was more intuitive and comprehensive. We use yearly statistics for budgeting for adding headcount, and a report that would allow us to see how much time a particular SME or team spent within Responsive providing input would be very helpful. the only way I can gather that information now is through a manual process within the Archived projects. We purchased only the library and it's fantastic to have all of our content searchable, in a google-like way. It's also easy to use, intuitive searching features. We formerly had documents scattered throughout our drives and no one could find anything and we continually reinvented the wheel.

Over time, duplicate questions and answers make their way into the repository and when I am cleaning them up there is no way to flag a question or answer duplicate as 'ignore' for the duration of my deduplication session. This is frustrating as there are always questions or answers that do not need to be deduplicated e.g., a similar answer for two differently tagged products, and they still show as needing deduplication in the results list and I have to manually skip past them. The content library and collaborative option (multiple people working on the same project doc at the same time). There have been recent improvements made to the tool where the quality of the answer recommendations have been improved. The tool also offers an additional AI-related features. While the tool works quite well when one uploads excel files, one may face issues if they upload excels with macros. Additionaly, there have been some issues when it comes to uploading files in WORD or PDF formats (we have been working with the Responsive team to get this issue solved). Maybe the interface response time when typing quickly...you need to wait a few seconds between searches so when you start typing it will include all what you are suppose to write. If not some letters may be cut from the search sentence
